BOOKING TERMS AND CONDITIONS
The following terms and conditions are to protect both parties. Please ensure you read and understand the terms and conditions fully.

- 1. Agreement
This document outlines the Terms and Conditions governing the booking of planetarium services from Discovery Dome Hong Kong ("Discovery Dome," "we," "us," or "our") by you ("the Client," "you," or "your"). Your formal acceptance of these terms, following our booking confirmation, constitutes a binding agreement.
2. Booking Process & Confirmation
2.1. An initial inquiry or date request does not constitute a confirmed booking.
2.2. A booking is formally proposed by Discovery Dome via a confirmation email, which will specify the event date, time, and a quoted price.
2.3. The booking is only secured and considered confirmed once the Client provides explicit agreement to these Terms and Conditions, as outlined in Section 9.
3. Payment Terms
3.1. Invoice & Payment: A final invoice, which will not exceed the quoted price, will be presented on the day of the event. Payment is due within 14 calendar days of the invoice date.
3.2. Late Payment: Invoices not settled within 8 weeks of the event date will incur a late payment fee of 10% of the total invoice amount.
3.3. Adjustments: The final invoice may be reduced to reflect a lower number of participants than originally quoted, but will never exceed the original quotation.
4. Cancellation & Postponement by Client
4.1. Postponement: We will make every reasonable effort to reschedule a booking at a mutually agreeable time if the Client needs to postpone.
4.2. Cancellation Fees: If rescheduling is not possible, the following cancellation fees will apply, based on the notice provided:
* More than 14 days before the event: 20% of the quoted fee.
* Within 5 to 14 days of the event: 50% of the quoted fee.
* Less than 48 hours before the event: 100% of the quoted fee.
5. Client Responsibilities: Venue
The Client is responsible for providing a suitable indoor venue at their premises, as detailed below.
5.1. Specifications: A clean, dry, and hazard-free space of sufficient size (as advised by us), with a sturdy and level floor.
5.2. Environment: The space must be sheltered from the elements and have a stable power source nearby.
6. Client Responsibilities: Access & Parking
6.1. Accessibility: Easy, direct access from the vehicle unloading point to the venue is essential. The Client must inform us in advance of any access issues (e.g., multiple stairs, long distances) so we can determine feasibility.
6.2. Parking: One dedicated parking space must be provided near the venue entrance for the duration of the setup, event, and breakdown.Or clear instructions for easy drop off of equipment and then nearby parking must be clearly explained. Any parking charges or fines incurred by Discovery Dome will be reimbursed by the Client and added to the final invoice.
7. Conduct & Liability
7.1. Safety & Behaviour: For the safety and enjoyment of all, we reserve the right to refuse entry or ask any individual displaying disruptive or unsafe behaviour to leave the dome.
7.2. Damage to Equipment: The Client is financially liable for any loss or damage to Discovery Dome equipment caused by the Client, their staff, students, or invitees. The full cost of repair or replacement will be charged.
8. Our Commitment
Discovery Dome agrees to provide the services in a professional and timely manner, using all equipment necessary to deliver a high-quality, educational, and entertaining experience.
9. Acceptance of Terms
By replying to our confirmation email with the statement "We accept the Discovery Dome Terms and Conditions for [Your School Name]'s booking on [Event Date]," or by using a similar method of explicit agreement provided by Discovery Dome, the Client agrees to be legally bound by all the terms outlined above.
